SCOTTSDALE SEA & SKI CLUB Cancellation and Refund Policy*

Please read carefully, as there are no exceptions. All requests for refunds must be made in writing to the Captain or the respective Activities Director of the Scottsdale Sea & Ski Club (hereinafter referred to as "SS&SC").

If your notice is received:

  • 90 days or more before departure of the excursion: you will receive a refund, less the following fees per person.
  • Payments of $200  -   $999    =  less $25
  • Payments of $1,000 - $1,999 =  less $50
  • Payments of $2,000 - $2,999 =  less $75  
  • However, if the event is subject to an Extended Cancellation Policy, see below.

 

  • Less than 90 days before departure (more than 90 days if the event is subject to an Extended Cancellation Policy): Cancelled spaces will be filled in the order of cancellation by the Captain as new sign-ups are received or sequentially from a "wait list", if one exists.

    It is NOT true that you can "sell" or find a replacement for your space to avoid cancellation penalties or move up in the order in which cancelled spaces are filled.

    You will receive a refund, less the above fees, plus any Vendor-Imposed Penalties per person. The Vendor-Imposed Penalties will depend on how soon cancellation is made, and SS&SC's ability to cancel spaces and recover funds from vendors.

Unless the excursion is filled prior to departure, refunds for cancellation within 90 days (or per the Extended Cancellation Policy) will be issued after completion of the excursion.

"No Snow Policy": Determined on an event-by-event basis.

Extended Cancellation Policies:
One of the reasons we can provide such great trips at such great prices is that we provide early commitments to the vendors.

Where the vendor requires a commitment greater than 90 days before the event, the "Less than 90 days" rule will apply starting at that earlier date. Details are available from the trip captain.

There is no refund for party cancellations within 72 hours of the party.

Note: "Event-Imposed Penalties" refers to penalties imposed by common carriers, hotels, airlines, ski areas, vendors or other entities with which SS&SC may have contractual obligations. If any unfilled spaces cannot be cancelled through any of these entities, the Event-Imposed Penalties may equal up to the cost of the excursion. Total cancellation penalties to club members shall never exceed the final published price of the excursion.

Please note that the REASON for the cancellation is not a part of this policy, and does not affect its operation.  Specifically, cancellations for medical reasons and injuries are handled exactly the same way as cancellations for other reasons.  For SSSC to grant an exception for medical reasons, we would essentially be issuing travel insurance, without collecting the premium for that travel insurance.  Our profit margins are razor thin, which is why we can offer such great trips at such great prices.


If you are concerned that you might need to cancel for medical reasons, there are many companies online that will issue travel insurance.  SSSC recommends that you purchase travel insurance from one of those companies.  Then, if you need to cancel for medical reasons, you can contact your insurer, subject to the provisions of your policy.
